Last updated: October 1, 2026

SoulCraft Systems (“SoulCraft,” “we,” “us”) respects your privacy. This policy explains what information we collect, how we use it, and the choices you have. It covers soulcraftsystems.com and related SoulCraft Systems estimate and service communications.

Information we collect

  • Contact and project details you submit — name, email, phone, address, company/household, project notes, and any files or preferences you include in an estimate or service request.
  • Photos and floor plans you upload — files you attach to an estimate request are stored privately with our cloud storage provider (Cloudflare), are not public, are used only to review and quote your project, and are deleted automatically after about six months unless they become part of a project record.
  • Client / project records — information needed to design, install, support, invoice, and document work you hire us to do.
  • Communications — emails, texts, call notes, and messages related to your inquiry or project.
  • Website and analytics data — pages viewed, approximate location/device/browser info, referrers, and events collected through tools such as Google Analytics. We use this to understand site performance, not to sell personal profiles.
  • Technical logs — standard server/security logs (IP address, timestamps, error data) used to operate and protect the site.

How we use information

  • Respond to estimate requests and service inquiries
  • Schedule, design, install, document, and support projects
  • Send transactional messages (quotes, scheduling, invoices, project updates)
  • Improve our website, services, and operations
  • Meet legal, tax, insurance, and warranty obligations
  • Prevent fraud, abuse, and security incidents

We do not sell your personal information.

Legal bases and consent

We process information because you request a quote or service, because we need it to perform a contract, because we have a legitimate business interest in operating and improving SoulCraft, or where required by law. Marketing emails or texts, if offered, are optional and separate from service communications. You can opt out of marketing at any time.

Sharing

We share information only as needed with:

  • Service providers that help us run the business (hosting, analytics, CRM/operations software, email/SMS, payment/accounting tools)
  • Product vendors or subcontractors when required to complete your project
  • Professional advisors (legal, insurance, accounting) when appropriate
  • Authorities when required by law or to protect rights and safety

Providers are expected to use the information only to perform services for us or as required by law.

Connected accounting apps (QuickBooks)

SoulCraft Systems connects its own QuickBooks Online company to internal tools through Intuit's official authorization (OAuth 2.0). We use that data only for SoulCraft's own bookkeeping, reconciliation, and financial reporting. It is not sold, shared with third parties, or used to train AI models. Access credentials are stored securely and never displayed. SoulCraft can revoke the connection at any time from its Intuit account, and doing so stops all access.

Retention

We keep inquiry and client records as long as needed for the project, warranty/support history, accounting, and legal requirements, then delete or archive them according to our internal retention practices.

Security

We use reasonable administrative, technical, and physical safeguards. No method of transmission or storage is perfectly secure; please avoid sending passwords or highly sensitive credentials through website forms.

Your choices

  • Request access to, correction of, or deletion of personal information we hold about you, subject to legal and operational limits
  • Opt out of marketing communications
  • Disable cookies/analytics in your browser (some site features may still work; measurement may be limited)

Email info@soulcraftsystems.com with privacy requests. We may need to verify your request.

Children

Our website and services are directed to adults and businesses. We do not knowingly collect personal information from children under 13.

Third-party links

Our site may link to Google, social profiles, brand sites, or other third parties. Their privacy practices are their own.

Changes

We may update this policy as our tools or legal requirements change. The “Last updated” date at the top will change when we do. Continued use of the site after an update means you accept the revised policy.
